With WLN closed this summer, we’re thrilled to share that this year’s camp will be held at Clifford Smart Middle School (CHS)!

9:00 AM – 3:00 PM daily

Please note: You must be ON the field and ready to go by 9:00 AM sharp. If you’re on time, you’re late—plan to arrive at least 15 minutes early!

To help your marcher be prepared and comfortable, please make sure they bring the following items each day:

• Comfortable, closed-toe shoes—this is not the week to break in a new pair!
• Clothing appropriate for the weather and school dress code.
• Hat and sunglasses are highly recommended.
• Sunscreen (applied before arrival).
• Refillable water bottle labeled with your student’s name. Staying hydrated is key!
• A nutritious breakfast each morning helps fuel a full day of activity.

Marching Essentials

Students should also bring:

• A pencil
• Their music
• A lyre and flip-folio, if needed

If your student is new to marching band and unsure whether they need a lyre and flip-folio, they should reach out to their Section Leader.

We’re proud to provide lunch each day for our Marching Knights! Here’s what you need to know:

• Our lunch line includes options for most dietary needs, including vegetarian, dairy-free and nut-free choices.
• Students should stay in the right-hand line and ask the food server for assistance if needed.
• If your student has any questions or concerns, they can ask our Marching Band food reps Ruth Jeffries or Val DePotter.

We want every Knight to be well-fed and ready to march—no one should go hungry! If you have questions, don’t hesitate to reach out.

The menu is tentative and may change. The final version will be posted the weekend before camp.

Each day’s lunch will include:

• An entrée
• Salad
• Fruit
• Dessert

Home Camp Menu:

• Monday: Pasta & Breadsticks
• Tuesday: Taco Tuesday
• Wednesday: Burgers & Hot Dogs
• Thursday: Chicken Tenders
• Friday: Pizza

⚠️ Note: There is no dairy-free option on Friday. If your student cannot eat pizza, please send a lunch. They can still enjoy salad, fruit, and dessert.

🥪 Bringing Lunch from Home?

You're welcome to send a lunch with your student. Please make sure you include an ice pack to keep food cold.

Uniform Fittings
We will be fitting students for their Marching Band uniforms from Tuesday, July 22 to Thursday, July 24, between 9:00 AM and 3:00 PM.
Fittings will take place over students' clothing, so please dress accordingly. 

Marching Shoes & Gloves: Fitting & Ordering – Wednesday, July 23
We will be fitting and placing orders for new marching shoes and gloves on this day.

• Gloves: All Marching Knights (except pit, percussion, and color guard) need gloves. We recommend purchasing two pairs as a backup.
• Color Guard: You’ll receive separate instructions regarding your specific shoes.

Costs

• Marching Shoes: $48 per pair
• Gloves: $3.50 per pair

Payment Options

• Credit Card: Log in to Membership Toolkit and complete the Shoes & Gloves Payment 25/26 Season form.
  Deadline: Monday, July 21
• Cash or Check: Payable to WLNMB, due by Tuesday, July 22

As we prepare for the upcoming season, please ensure all required forms and payments are submitted before Home Camp begins.

✅ Forms & Payments

Band Representatives will be available at CHS before both practices to collect any outstanding forms and payments.

🩺 Physicals

Per district policy, all students must have a physical dated April 15, 2025, or later. The physical must:

• Be signed by a doctor
• Include both completed pages
• Have parent and student signatures

Due Date: Bring the completed physical to the first practice on July 9th. We will collect them as students arrive.

💊 Medication Authorization

If your student requires medication during Away Camp, please:

• Submit a Medication Authorization Form by July 16th
• Bring the medications to Away Camp drop-off, where our medical staff will manage administration

We will have the following over-the-counter medications available if permitted on your registration form: Ibuprofen, Acetaminophen, Calamine Lotion, Tums, Claritin (loratadine), Benadryl.

Note: If your child will not bring any medications to camp, you do not need to complete this form.

🛡️ Criminal History

Only volunteers with a completed Criminal History Check on file may participate. We will be cross-checking our volunteer sign-up list with the district’s records soon.

💉 Tetanus Shot Reminder

If your student’s YMCA form is missing a tetanus shot date, you will receive an email before July 9th requesting it. This information is required by the camp and we turn in the forms prior to our arrival.
